Position Description

Layfield is looking to add an experienced Estimator and Project Coordinator to our Edmonton Office. The Estimator & Project Coordinator is responsible for completing cost estimates & cost control, material take-offs, tender support documentation, post-construction reporting and providing administrative assistance to the Construction Manager and Project Managers.

Key Responsibilities:

Estimating:

  • Evaluates project drawings and produces a materials take-off for the project, including allowance for proper bulking factors on all materials.
  • Prepares pre-bid information and reports on findings to the Estimating Manager.
  • Assists with the preparation of pre-tender information submittals.
  • Prepares construction details, proposal drawings and sketches for the purpose of clarifying specific portions of the cost estimate.
  • Conducts preliminary communications with the contractors, engineer and/or owner relative to determining or clarifying project details, scope of work, bidder’s list, and other key information.
  • Characterizes and details material take-offs. Provides a material summary and checklist for items of work that require a construction / installation effort.
  • Estimates production rates for the supply, deployment, installation, seaming and/or construction of items of work for a project.
  • Estimates all direct, indirect and overhead costs for all items of work for a project.
  • Examines aged or held product within the inventories across Layfield’s locations when applicable to the quoting situation.
  • Ensures project material specifications have been fully reviewed and appropriate exceptions are included in the Layfield Quotation Letter.
  • Completes preliminary & final cost estimates for assigned projects delegated by the Estimating Manager.
  • Prepares full Client Quotation Letter, including scope of work, installation areas, inclusions, exclusions, and full review of terms & conditions.
  • Completes the Bid Review Form for all Firm Quotations.
  • Chairs the Bid Review Meeting, gives the attendees a complete recap of the project scope, details, installation strategy and other key information to be discussed.
  • Coordinates project follow-up with appropriate regional sales personnel.
  • Regularly maintains and tracks personal project follow up list with clients.

Project Coordination:

  • Coordinates contract awards (purchase orders, subcontracts, signed quote, etc.) and sets up project job numbers.
  • Prepares and facilitates Project Handoff Meetings, from Estimating to Operations. This includes client setup (with accounting), Bill of Material summary, draft purchase requisitions, communications & contact info transfer with the client, and all other items included in the Project Handoff Procedure.
  • Maintains the Construction Group’s electronic project tracking system(s). Update projects from Quoting to Awarded/Lost.
  • Prepares and coordinates post-tender document submissions related to shop drawings, schedules, panel layouts and product sample/back-up data – making sure our materials & scope quoted meet the expectations of the client.
  • Under direction of the Project Manager, assists with procurement of materials required for the project and ensures material procurement costs are within allotted budgets.
  • Assists the Project Manager or Construction Manager with the preparation of Job Binder/Notes for Field Supervisor including scope of work, directions to site, materials required and necessary backup documents copied (quote letter, drawings, specs, etc. – anything the site supervisor might need to reference on site).
  • Under direction of the Project Manager, prepares interim or final completion documents consistent with specifications requirements, including statutory declarations, warranties, QA/QC submittals, and as-builts.
  • Assists with the administration of the ISO Quality System, including regular initiation of NCR, CAR & PAR’s.
  • Assists with the administration of our ACSA Certification of Recognition Safety Program.

  • Ability to learn and adapt from bids/projects and utilize information into future bids.
  • Ability to manage multiple workloads and closing dates at one time.

Education & Experience

  • Engineering Technology Diploma from NAIT (Civil or Construction), or higher.
  • Minimum one (1) year experience in Construction Estimating background; two (2) years preferred.
  • Analytical analysis of contract documents.
  • Proven ability in sound decision making.
  • Driven, self-starter with excellent interpersonal skills.
  • Independent but able to work well within a team environment.
  • High degree of competence in written and oral communication.
  • Intermediate Microsoft Office suite skills and necessary estimating programs.
